Job Summary

 

The Grant Development Specialist provides comprehensive administrative, operational, and technical support for the College of Science and Mathematics (CSM) in all aspects of sponsored research administration. This on-campus position plays a key role in assisting faculty and principal investigators (PIs) with both pre-award and post-award activities, ensuring compliance with university and sponsor regulations, and facilitating interdisciplinary collaborations within CSM, across campus, and with external entities. This position should assist faculty in identifying appropriate funding opportunities for individuals and teams of researchers as well as provide accurate information for preparation of submissions.

Responsibilities

 

The responsibilities include, but are not limited to: 

Pre-Award Responsibilities
The Grant Development Specialist supports the development and submission of competitive, compliant grant proposals by performing the following duties:

  • Assist faculty in identifying and evaluating funding opportunities from federal, state, foundation, and private sponsors. 
  • Review and interpret agency guidelines and regulations; advise faculty on sponsor policies as well as state and university procedures.

Coordinate and prepare grant proposals for submission, including:

  • Budget development and justification. 
  • Verification of proposal requirements. 
  • Internal approval routing and submission processes
  • Monitor proposal statuses and guide faculty through compliance requirements such
    as IRB, IACUC, and other research protection protocols.

Act as a liaison between faculty, the Division of Sponsored Programs Administration (DSPA), and CSM administration to ensure effective communication and support for all sponsored project submissions.

Maintain timelines and assist with the preparation and submission of annual progress reports in coordination with project PIs.

Prepare internal reporting of grant submissions and awards for CSM leadership and stakeholders.

Perform other related duties in support of pre-award functions as assigned.
Post-Award Responsibilities
Post-award, the specialist ensures successful implementation and management of awarded projects by working collaboratively with CSM Administration, PIs, and DSPA. Responsibilities include:

  • Notify and coordinate with CSM Administration regarding new awards and necessary personnel effort adjustments. 
  • Prepare and submit personnel and non-personnel cost transfers; ensure proper documentation and compliance.
  • Maintain detailed monthly financial reports for all active projects and provide updates to PIs.
  • Monitor project timelines, including renewals, no-cost extensions, and award closeouts.
  • Ensure ongoing communication with CSM Administration about any project changes or adjustments
  • Oversee compliance with all funding regulations and institutional requirements for the use of grant funds.
  • Initiate and track research-related purchases (equipment, supplies, shipping), ensuring proper procurement procedures are followed.
  • Complete and reconcile monthly financial statements for funded projects.
  • Support the review and completion of quarterly effort certification in coordination with CSM Administration.
  • Perform other duties related to post-award administration as assigned.

Other Responsibilities
Perform other job-related duties and special projects as assigned by CSM leadership, which may include contributing to strategic initiatives, participating in training or professional development, or supporting college-wide research development efforts.
 

Required Qualifications

 

Bachelor's degree from an accredited college or university in business or related field with three years of experience in business, finance, accounting or other related field.
 

Preferred Qualifications

 

Experience in pre and post award support; knowledge of AU operational process and systems such as InfoEd.

Knowledge, Skills, & Abilities

 

ABILITIES
Ability to work independently while contributing effectively to a team-oriented environment.
KNOWLEDGE
Proficiency in budget preparation, financial reconciliation, procurement, and travel coordination in a research context. Familiarity with federal and state grant regulations, sponsor-specific policies, and institutional research administration systems.
SKILLS
Strong organizational, time management, and problem-solving skills, with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills for working with faculty, administrators, and sponsors.

 

 

Shift/Salary/Benefits

 

Shift: Days/M-F (work outside of normal business hours will likely be required of an employee in an exempt level position)

Pay Band: B11

Salary Minimum: $56,600/annually     

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
