Job-Specific Responsibilities:
The Athletics Department is the largest Division I athletic program in the nation. It is a dynamic and fast-paced working environment which includes 42 intercollegiate athletic teams (with over 1,200 student-athletes), 50+ club sports (with over 2,000 participants), the Harvard House Intramural program (with over 2,500 participants and over 1,500 contests), many recreation offerings, and the management of four campus fitness centers.
As the Accounting Assistant, working under the direction of the Financial Analyst, you would support the Department's financial management and strategy. Typical duties include:
- Reviews and processes invoices to ensure that vendors and external suppliers are paid promptly
- Develops controls that ensure that, before payment, the following occurs:
- Invoices are legitimate, approved, complete and accurate
- Invoices are compliant with University, Ivy League and NCAA policies
- Reconciles open accounts payable items; investigates and corrects discrepancies
- Responsible for researching budget to actual variances and processing corrective journals
- Responsible for processing and reconciling the weekly payroll process, ensuring compliance with University, Ivy League and NCAA policies
- Responsible for training all managers in PeopleSoft and University policies regarding payroll
- Collaborates with Human Resources to resolve all payroll issues
- Creates, processes and maintains the Department's account receivable function, which includes invoicing for all internal and external rentals using QuickBooks
- Responsible for applying all payments received and managing the aging through contact with renters
- Implement and develop best practices to improve the efficiency and accurateness of the accounts payable and weekly payroll function
- Prepare monthly administrative reports to assist department managers
- Controls and administers petty cash transactions ensuring all transactions are reconciled
- May assist in reviewing, auditing, and approving Concur expense reports
Basic Qualifications:
At least 3 years of accounting or business work experience required. Education may count towards experience.
Additional Qualifications and Skills:
Bachelor's degree in accounting is strongly preferred. Good written and communications skills required. Must be detail oriented, able to multi-task, and work independently.
